Narrative: MUST University Admissions Workflow
At MUST University, the admissions process is designed to engage prospective students from the moment they request information to the point of active enrollment. The workflow includes multiple status checkpoints and decision paths, ensuring that every applicant receives appropriate communication, evaluation, and support.
1. Lead and Prospect Engagement
• Prospect Requested Info (Lead): The admissions process begins when a prospect requests information about a program.
• Prospect Contacted: An admissions representative reaches out to the prospect to provide details, schedule an interview, or answer initial questions.
• Outcomes:
◦ Not Interested: The prospect chooses not to proceed or is looking for a program not offered.
◦ Requested to be Placed on Do Not Call List: The prospect explicitly requests no further contact.
◦ Prospect Interviewed: If interested, the prospect is interviewed to assess eligibility and provide program details.
2. Application and Evaluation
• New Applicant: The prospect decides to apply and submits an initial application, but may still need to complete documentation.
• Application Submitted: The applicant has provided all required documents. The file is reviewed by admissions staff.
• Outcomes:
◦ Application Accepted: All requirements met; the student is accepted.
◦ Conditional Acceptance: Some requirements are pending. The student follows the application process, however, they have up to 60 days from the start date of classes to resolve any pending issues or they run the risk of being cancelled.
◦ Rejected / Not Approved: The student does not meet entrance requirements at this time.
3. Enrollment Processing
• Registered (Enrolled into ORBUND): Accepted students are entered into the student information system (ORBUND).
• Waiting Microsoft User Access: Awaiting IT assignment of credentials.
• Pending Payment: Enrollment is placed on hold until initial fees are paid.
• Pending Signature: Initial fees paid. Awaiting student to sign final enrollment documents.
• Pending Schedule: After completing all prior steps, the student waits to be scheduled for classes.
4. Enrollment Finalization
• Enrolled: The student has completed all steps and is fully enrolled.
• Active: The student posts attendance during the first week of class.
5. Cancellation and Reentry
• Canceled: Failure to pay or move forward in the process leads to cancellation. Student can reapply with new documentation.
• CWA (Canceled With Attendance): The student started attending but withdrew during the first 7 calendar days (Add/Drop period).
• Reenroll: Students in Cancel or CWA status can reapply without being treated as new applicants.
